CalOps UI

Live operations panel for jobs, quotes, pickup follow-up, and quick actions.

CalOps is a real-time operations panel that appears alongside your calendar on desktop screens. It gives you an at-a-glance snapshot of your business — upcoming jobs, open quotes, customer responses, overbooked items, and overdue pickups — plus a timeline and a live context panel that updates as you interact with the calendar.

Accessing CalOps

CalOps appears automatically as a side panel to the right of your calendar when you're on a screen 1180px or wider (typical desktop or laptop). On smaller screens or tablets, the CalOps panel stacks below the calendar.

You don't need to enable or configure anything — CalOps is always available on the calendar dashboard.

Ops Snapshot

The top section of the CalOps panel shows the current business snapshot cards:

Upcoming Jobs (7 days)

Shows how many events are scheduled in the next 7 days and when your next job starts. Click Open schedule to jump the calendar to today's date.

Open Quotes

Shows the number of quotes in draft, sent, or pending status along with the total dollar value of your open pipeline. Click Open quotes to jump directly to the Quotes section.

Customer Responses

Shows the number of quote responses waiting for review. Click Review quotes to jump to the response list.

Overbooked Items

Shows how many inventory items have shortages across future events and how many events are affected. Click Review events to switch the bottom panel to a detailed list of overbooked events. This card is hidden in recurring-service mode.

Overdue Pickup

Shows how many past events still haven't been marked as picked up beyond your configured threshold (default: 2 days). Click Review pickups to search the calendar for events needing pickup attention. This card is hidden in recurring-service mode.

Refreshing the Snapshot

Click the Refresh button in the top-right corner of the snapshot section to manually update the cards with the latest data.

Delivery & Pickup Timeline

The middle section shows a timeline of upcoming deliveries and pickups over the next 14 days (up to 12 entries). The title changes to Upcoming Jobs for recurring-service accounts. Each entry is color-coded:

  • Blue — Delivery date for a multi-day rental
  • Red — Pickup/return date (only shown if equipment hasn't been marked as picked up yet)
  • Yellow — Same-day delivery and pickup

Each entry shows:

  • A relative date label ("Today", "Tomorrow", "In 3 days")
  • The formal date (for example, "Mar 15")
  • The event title and customer name

Click any entry to jump the calendar to that date and highlight the event.

Live Context Panel

The bottom section is a dynamic card that automatically updates based on what you're doing in the calendar.

When You Open an Event

The panel shows event details at a glance:

  • Delivery date range
  • Customer name
  • Address
  • Number of items
  • Total price and deposit amount
  • Amount paid
  • Quick-action buttons for Layouts and other event actions

When You Click a Date

The panel shows a day summary:

  • Current calendar view and month
  • Number of events on that date
  • Quick-action buttons for Quotes and Inventory

When Nothing Is Selected

The panel shows general calendar status:

  • Current calendar view
  • Total number of visible events
  • Any active search filter
  • Quick-action buttons for Quotes and Inventory

Overbooked Events View

When you click Review events from the Overbooked Items snapshot card, the live context panel switches to show a detailed list of all future overbooked events. For each event you'll see:

  • Date range (relative and formatted)
  • Event title
  • A preview of affected items (first 3 shown, with "+N more" if there are additional)
  • Total missing quantity across all items
  • Edit / View Event button — opens the event for editing
  • Jump on Calendar button — navigates the calendar to the event's date

Click Back to Live Context to return to the normal view.

Gotchas

  • Desktop only for side-by-side view: CalOps appears as a side panel only on screens 1180px or wider. On smaller screens it stacks below the calendar, which means you'll need to scroll down to see it.
  • Snapshot data is point-in-time: The snapshot cards show data as of when the page loaded or when you last clicked Refresh. If another admin creates an event or books a quote, your snapshot won't update until you refresh.
  • Timeline shows 14 days max: The delivery/pickup timeline only looks ahead 14 days and shows at most 12 entries. Events further out won't appear in the timeline — use the calendar directly for longer-range planning.
  • Overbooked events view replaces live context: When you switch to the overbooked events list, the live context panel stops updating until you click "Back to Live Context." You won't see event details while in the overbooked view.
  • CalOps doesn't replace the calendar: CalOps is a companion panel — it surfaces key metrics and quick actions, but all actual event management (creating, editing, deleting) still happens through the calendar and event modals.
