GUIDES & REFERENCE

Features at a glance

Find the right guide for bookings, inventory, payments, layouts, crew tools, and business settings.

Updated

Apex Rental Pro has one current paid plan, Professional. The trial has the same plan-level feature access. See Pricing for subscription details.

That does not mean every user sees every control. Your workspace's industry, your role and permissions, configured integrations, and the version of a feature available to your workspace all affect what you can use. The guides below explain those requirements.

Bookings and customers

Tool What it does Guide
Calendar and events Schedules bookings, assigned staff, inventory, deliveries, pickups, and separate setup/takedown dates where available. Calendar & Events
Availability Checks overlapping reservations, including build-kit components and extended reservation windows. Availability
Quotes Builds proposals with items, custom lines, pricing, customer information, and layout attachments; books accepted work into events. Quotes
Invoices and receipts Generates billing documents from saved event or quote pricing and recorded payments. Invoicing
Stripe payments Sends supported customer payment requests after Stripe and email delivery are configured. Stripe processes the payment; Apex records the payment updates it receives. Stripe Payments
Deposits and pickups Tracks required deposits, recorded payments, and whether equipment has been collected. Deposits & Pickup Tracking
Contracts Creates agreements from templates, sends private signing links, and keeps signing status and documents with the booking. Contracts
Customers Finds customer records and related work, with customer-management and email actions controlled by permissions. Customers
Email Sends supported documents and notifications using your workspace's email configuration. Sending requires the appropriate permissions and a working delivery setup. Emailing

Inventory and planning

Tool What it does Guide
Inventory Maintains item quantities, pricing, categories, customer visibility, and permitted internal details. Inventory
Build kits Defines equipment assembled from component stock; availability depends on the recipe and available components. Build Kits
Packages Groups rental items into packages for quoting and booking. Packages
Item mappings Connects text descriptions and supported calendar entries to tracked items. Item Mapping
Layout Designer Creates event plans, saves layouts, and produces documents or customer views. The classic and 3D editors have different controls; follow the guide for the editor your workspace opens. Layouts
Print sheets Produces job and equipment paperwork for your team. Print Sheets
Map View Places events with usable addresses on a map and provides supported planning overlays. A map or terrain hint is not a substitute for checking a job site. Map View
Google Calendar Connects a calendar and synchronizes supported booking information. Deleting an Apex event can also delete its linked Google event. Google Calendar

Team and business tools

Tool What it does Guide
Employees and permissions Manages accounts, roles, event assignments, and individual permissions. Financial information and team location access have separate controls. Employees
Time clock Records work sessions and supports permitted time-entry administration. Location capture depends on permissions and the device. Time Clock
Analytics Reports on bookings, revenue, items, customers, employee work, expenses, and other supported reporting areas. Financial sections require the relevant access. Analytics
Assets and maintenance Keeps asset profiles, photos, maintenance history, reminders, and supported vehicle mileage information. Assets & Maintenance
Equipment loans Tracks financing information and related reporting. Recording a loan does not send a payment to the lender. Equipment Loans
Reminders Tracks tasks and supported reminder notifications. Reminders
Notes and favorites Keeps personal notes and shortcuts for your own account. Notes, Favorites
Data export Downloads the available business-data export. Check the export guide for what is included and what is not a full backup. Data Export

Other ways to work

  • CalOps: the default web workspace for day-to-day operations.
  • Mobile app: phone workflows connected to the same workspace. It is not a promise of full desktop parity or completely offline operation.
  • Mobile map: supported event-map and planning tools on your phone.
  • POS: point-of-sale tools, with payment methods and printing dependent on the configured integrations and hardware.
  • Website Builder: builds your customer-facing website and its supported pages and request flows.
  • Website Leads & Responses: handles supported incoming customer requests and responses.
  • Lawn Care: property and recurring-service tools for the appropriate workspace profile.

Before you start

If a feature is missing, check your permissions and workspace settings before assuming it requires a different plan. The account owner or an authorized administrator may need to configure it. Connecting Stripe, Google Calendar, or email is separate from simply having the feature included in your subscription.
