Connecting Stripe
Open Settings > Payments and set up the Stripe fields there.
The payment panel supports both the current Stripe setup and the legacy key-based flow. If Stripe is not ready yet, the event document hub will show the status and point you back to the Payments settings.
Sending a payment request
From an event, open the documents hub and choose:
- Send Deposit Link
- Send Balance Link
- Custom Amount for a partial or exact dollar amount
A few details:
- If you leave the amount blank, the system uses the suggested full amount due.
- A custom amount must be a valid dollar amount and cannot exceed the amount due.
- If you ask for the full amount due, the app asks for confirmation before sending.
- Balance requests warn you if the customer has not signed a contract yet.
- Deposit requests are exempt from that contract warning.
What the customer sees
The customer receives an email with a Stripe-hosted payment page.
- Your business branding appears at the top.
- The payment page handles the card entry.
- The email can also include a hosted invoice link and a dashboard link when those are available.
- If the event has a convenience fee turned on, it is added separately.
Hosting and follow-up
Hosted invoices and payment links are created from the event data in the hub, not from a separate Stripe dashboard step.
If the event already has a payment recorded and the amount due changes later, the hub can offer a new balance link for the remaining amount.
Refunds and disconnecting
Refunds still happen in Stripe. Apex does not provide an internal refund button for the payment gateway itself.
Disconnecting only removes the Apex link to Stripe. It does not delete your Stripe account or its existing payment history.
Gotchas
- The payment link email needs a customer email address.
- Stripe must be ready before payment links can be sent.
- Convenience fees are optional and only apply when enabled in Settings.
- If you want a deposit request in the booking confirmation email, turn on Deposit Request on Booking in Settings.
- Payment links are sent from the event documents hub, so the event is the source of truth for the request.
